Duties include (but are not limited to)
- Ensure all lettings deals are administered effectively
- Referencing prospective tenants
- Conducting right to rent checks on tenants (including meeting them in person to verify)
- Preparation of tenancy agreements and renewal agreements
- Preparation of statement of accounts & ensuring payments are received in a timely manner
- Booking gas safety certificates, EPC, EICR, professional cleans, inventory check ins
- Arranging marketing material for properties including photos, floorplans, brochures and other marketing materials
- Assisting the sales team with preparation of terms of business and other documents
- Conducting AML checks on clients using Smartsearch & Thirdfort
- Keeping files on Alto and Common Drive organised
- Manage key logs by ensuring they are signed in/out and keeping track of overdue keys to avoid key loss
- Introduce and negotiate with new 3rd party service providers when required to ensure we are getting the best price and service
- Ensuring properties are loaded correctly to the portals (company website, Zoopla, Rightmove)
- Monitoring Lonres and updating our records for when properties become available
- Booking in photos and floorplans for new properties and uploading them along with the property onto Alto
- Ensure property photos, descriptions and all other details are up to date and correct
- Conducting land registry checks on properties as requested
- Keep up with current legislation to ensure we are up consistently up to date
Required skills and expertise:
- 2-3 years proven property administrator experience within the property industry
- Proficient skills in Microsoft office
- Advantageous software experience within: Alto, Smartsearch, Thirdfort, Reference My Tenant, Rightmove, Zoopla, Lonres
- Positive work ethic
- Able to multi-task and prioritise
- Highly organised and efficient
- Excellent attention to detail
- Excellent communication skills – written and verbal
- Friendly and professional
